Important Considerations Before Applying

Bournemouth Reggae Weekend (BRW) is one of the UK’s most vibrant cultural festivals, attracting thousands of visitors to Kings Park, Bournemouth each summer. From 2026, the festival will introduce a revenue share model for food vendors only. This new approach is designed to lower upfront trading costs, reduce financial risk, and encourage a diverse mix of high-quality street food providers.

For all non-food traders, structured fees will continue to apply, and these are set out in the application form below.


Revenue Share Model (Food Vendors Only)

Food vendors at BRW will not be asked to pay a full stall rental fee upfront. Instead, successful applicants will operate under a revenue share agreement. After the festival, a calculation will be made using verified sales data, and traders will pay a percentage of their revenue rather than a fixed fee. The full details of the revenue share terms will be provided to successful food vendors once accepted.


Fees and Payment Terms

For food vendors, the revenue share model replaces traditional stall hire fees. However, a commitment fee of £300 must still be paid within seven days of receiving your invoice. This fee is non-refundable and secures your pitch at the event. The revenue share itself will be calculated post-event, based on confirmed sales figures.

For non-food traders, a structured fee system remains in place. Details of these charges are outlined in the application form and vary depending on pitch size and trading category. Like food vendors, non-food traders must also pay a £300 non-refundable commitment fee within seven days of invoicing to secure their place.

Please note that BRW is a cashless festival. All sales must be made via card or contactless payments. Card terminals will be provided by the organisers to ensure smooth transactions. If you cannot meet the commitment fee requirement, we kindly ask that you do not submit an application.


Trader Selection and Standards

Bournemouth Reggae Weekend is committed to creating a diverse, family-friendly food and retail experience. For food traders, this means curating a wide mix of cuisines, ensuring balanced vendor placement, and asking all vendors to offer children’s meal options and at least one value meal priced at £10 or less.

All vendors, regardless of category, must demonstrate the ability to deliver consistent quality and efficient service, even at peak times. Food safety, hygiene, and professional presentation are essential. Stalls should also be structurally sound, weather-resistant, and capable of withstanding outdoor conditions, including wind and rain.


Application Process

The application deadline is Friday 29th March 2026. Applicants must provide accurate pitch measurements, including any extensions such as tow hitches and guy ropes. All mandatory supporting documents must be submitted with your application.

The BRW Trading Team reviews all submissions, but please be aware that applying does not guarantee acceptance. Successful applicants will be contacted within seven days of their application being received.


Cancellation Policy

If Bournemouth Reggae Weekend is cancelled due to weather, safety concerns, or circumstances beyond the organisers’ control, stall hire and commitment fees will not be refunded. Electricity fees, however, will be reimbursed. If an alternative event is arranged, traders may be offered a free pitch, allocated on a first-come, first-served basis. Cancellation of the main Kings Park event will be treated as a full festival cancellation.


Stall Payments

All traders must pay the full £300 commitment fee within seven days of invoicing. Failure to make payment within this timeframe may result in your pitch being reallocated.


Acceptance and Right to Refuse

Submitting an application and paying the commitment fee does not guarantee acceptance. Due to high demand and limited space, BRW reserves the right to decline applications. In cases where applications are not successful, the commitment fee will be refunded in full.


Insurance and Compliance

All traders must hold valid public liability insurance with a minimum cover of £5 million, along with a valid Food Hygiene Certificate where applicable. A full risk assessment, including fire safety, is also required. If you are using gas or electrical equipment, Gas Safety and PAT testing certificates must be provided. Only scanned copies of documents will be accepted.


Environmental Responsibility

Sustainability is central to Bournemouth Reggae Weekend. All traders must use eco-friendly, compostable packaging made from wood, paper, or leaf-based materials. All items must comply with BRW’s waste management guidelines. Non-compliance may affect your ability to trade at future events.


Trading Restrictions

Alcohol sales are not permitted at BRW. Traders are only authorised to sell items listed in their approved application. Any vendor selling outside of their agreed category may be removed from the event without refund.


Set-Up and Supplies

Traders are responsible for providing their own stalls, equipment, tables, chairs, and lighting. Non-potable water is available on-site, but traders should bring their own containers and transport equipment. A small number of on-site camping spaces may be available but must be approved in advance.


Conduct and Security

Professional behaviour is expected at all times. Any rude or abusive conduct towards staff will result in removal from the event without refund. Overnight security is provided, but traders remain responsible for their own goods and equipment.


Waste and Hygiene

All pitches must be kept clean and safe throughout the festival. Traders must comply with BCP Trading Standards and current health and safety legislation. Non-compliance may lead to immediate closure without refund.


Vehicles and Site Access

For safety reasons, no vehicle movement is allowed during festival trading hours. Each trader is permitted one on-site vehicle, while any additional vehicles must be parked off-site.


Withdrawal Policy

If you withdraw from the festival before 10th March 2026, you will be entitled to a 50% refund of rental and power fees. Withdrawals made after this date will not be eligible for any refunds.
